What we collect, why, who helps us, and the choices you have. In plain English.
Last updated:
1. Who we are
This website is run by Max Digital and Print Media, operating as Max Media Hub, at 388 Prince of Wales Drive, Mississauga, ON L5B 0A1, Canada. In this policy, “we”, “us” and “our” mean Max Digital and Print Media.
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25) where it applies, and Canada's Anti-Spam Legislation (CASL).
2. Person in charge of privacy
Our Privacy Officer is responsible for protecting personal information and for answering any privacy question or request. Contact: info@maxmediahub.ca, 437-933-7799, or by mail at the address above.
3. What we collect

Your name, business name, email, mobile number, the service you're interested in, your message, the page you sent it from, the date and time, and a record of the consent wording you agreed to.
When you book a call
Your name, email, mobile number, business name, the service you chose, any notes, and the meeting time. Bookings are made through Cal.com.
When you contact us directly
What you choose to share by phone, text, WhatsApp or email.
Automatically
- Basic technical data our host needs to deliver the site securely, such as IP address and browser type, kept in short-lived server logs.
- A one-way scrambled version of your IP address to stop form spam and abuse, kept for no more than 24 hours.
- Only if you agree in the cookie banner: how you use the site (Google Analytics, Microsoft Clarity) and whether you came from or acted on our ads (Meta Pixel). See our Cookie Policy.
We don't knowingly collect information from children under 16, and we don't collect sensitive information such as health or financial details through this site. Please don't include it in messages.
4. Why we use it
- To reply to your enquiry, hold the discovery call and prepare a quote.
- To send you a confirmation of your enquiry or booking by email and text.
- To keep a record of our conversations and, if you become a client, to deliver and invoice our services.
- To keep the site secure and block spam.
- With your consent only: to understand how the site is used and to measure our advertising.
5. Your consent, emails and texts
By sending the form or booking a call, you agree to us using your details to respond to you. The confirmation email and text we send are about your own request. We don't send you marketing emails or texts unless you have separately and clearly agreed to receive them.
You can withdraw consent at any time. Reply STOP to any text to stop texts, use the unsubscribe option in any marketing email, or contact our Privacy Officer. Withdrawing consent may mean we can't complete what you asked for, and we'll tell you if so.
6. Who we share it with
We don't sell or rent personal information. We use trusted service providers that process it for us, under contracts that require them to protect it and use it only for the services they provide to us:
| Provider | What they do for us | Where data may be stored |
|---|---|---|
| Vercel | Hosts this website and runs the enquiry form | United States |
| HubSpot | Our customer records (CRM), where enquiries and bookings are saved | United States |
| Resend | Sends confirmation and alert emails | United States |
| TextGrid | Sends confirmation and alert text messages | United States |
| Cal.com | Online booking calendar for discovery calls | United States / European Union |
| Google Analytics (only with your consent) and Google Maps (only if you tap Show map) | United States | |
| Microsoft | Microsoft Clarity (only with your consent) | United States |
| Meta | Meta Pixel for ad measurement (only with your consent) | United States |
Some of these providers store information outside Canada and outside Quebec, mainly in the United States. There it is protected by our contracts, but it may be accessible to courts, law enforcement and national security authorities under local law. Before sending information outside Quebec we assess whether it will be adequately protected.
For print jobs, we share only the files and delivery details needed with our trade print partner. We may also disclose information if the law requires it.
7. How long we keep it
If you don't become a client, we keep your enquiry or booking details for up to 2 years after our last contact, then delete or anonymize them. Client records are kept for as long as needed to provide our services and as required by law, for example 6 years for tax and accounting records. Short-lived logs and spam-protection data are deleted automatically.
8. How we protect it
- The site only works over an encrypted (HTTPS) connection.
- Enquiries go straight to our CRM. They are never stored in the website's content system.
- Access to customer records is limited to people who need it, with strong passwords and two-step sign-in where available.
- Secret keys are kept in secure server settings, never in the website's code.
9. Your rights
You can ask us to:
- tell you what personal information we hold about you and how we use it, and give you a copy;
- correct information that is wrong or incomplete;
- delete your information when we no longer need it, or stop using it for a purpose you no longer agree to;
- give you your information in a commonly used digital format (Quebec residents); and
- stop sharing or linking to your information where it is used against the law or causes you harm (Quebec residents).
Contact our Privacy Officer at info@maxmediahub.ca or 437-933-7799. We may ask you to confirm your identity, and we'll reply within 30 days.
If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
10. If something goes wrong
If a privacy incident creates a risk of serious harm, we will notify the people affected and the privacy regulators as the law requires, and keep a record of every incident.
11. Changes to this policy
We'll update this page when our practices change and change the “Last updated” date above. If a change significantly affects how we use information you already gave us, we'll ask for your consent first.
